Account information
Name and email address are collected to create and manage an account. We collect a mobile number only if you choose to provide one. If you sign in with Google, we receive your name, email address, and Google account identifier to identify and connect your account.
Passwords for accounts with password sign-in are stored as hashes; Vihanova cannot access the original password. Because email and text-message services may be interrupted, we recommend setting a password from the account page after registration.
The email address and mobile number registered with Vihanova identify one account. Only the original account holder may initiate their connection to that account. Vihanova does not connect independent accounts to merge them or deactivate one account for that purpose.
Files and requests
Prompt text, input files, and outputs are processed to run the selected feature. Depending on how you use the service, they may be stored in your conversations, projects, or account gallery. For online models, the data required to process a request is sent to the selected model provider.
File retention
- Cloud files on the free plan are kept for up to 30 days from storage.
- On paid plans, cloud files are retained until the plan expires. Continuous renewal extends the retention of existing files. Currently, there is an additional 10-day period after plan expiry to renew or download files. Each file's access expiry date is shown in your account. After the renewal period, the account returns to the free plan; this does not extend the retention of earlier files. After the displayed expiry date, Vihanova may delete cloud files and has no obligation to retain or restore them.
- Online outputs selected for local storage remain on the server for up to 72 hours for delivery to the desktop application. Expiry or deletion of the cloud file does not remove a copy stored on your device and does not, by itself, delete conversation text or project structure.
Desktop hardware checks
The operating system, architecture, processor, memory, graphics card, model runtime, and available storage are checked only with your consent and only to assess model compatibility. This check does not read or send files, projects, or their contents. You can turn off permission for this check in settings.
Error reports
Technical events from the desktop application are kept on the device for up to 14 days. An error report is created only at your request and with your approval, and it is saved to a location you choose. Project content, files, prompt text, access keys, and sensitive paths are excluded. Reports are not sent to Vihanova automatically.
Access to data and account deletion
You can view your account information and request correction or deletion from the account page. You can cancel an account-deletion request for up to 14 days. After that, the account and related private data, such as conversations, projects, and cloud files, are deleted or disabled through the service's cleanup process. Sales records that must be retained to meet legal or financial obligations may be kept without a direct link to the account. Copies stored on your device are not removed remotely. Data held by external providers and independent backups are subject to the retention policies of those systems.
Security
An account session is maintained with a secure cookie. Service connection keys and database credentials are not placed in the browser or a public repository. We use access controls and standard security measures to protect data, but no system is completely secure.
